Terms and Conditions for Online Booking and Services

1. Booking and Scheduling

Initial consultations are scheduled through the online booking system. A booking is confirmed once payment is completed and an email confirmation is received.

Ongoing support, packages, and monthly plans are scheduled collaboratively after an initial consultation to ensure a supportive and sustainable rhythm for everyone involved. Please ensure your contact information is accurate so you receive session details and reminders.

2. Nature of Services

Rooted in Care Consulting provides relationship-centered consultation, education, and support for care partners and families navigating dementia and brain change.

Services are not psychotherapy, speech-language pathology treatment, medical care, or insurance-billable services, and are not a substitute for care provided by licensed medical, mental health, or legal professionals.

Support is reflective and educational in nature, with a focus on understanding, reducing distress, and strengthening connection.

3. Service Delivery

Care partner support is typically offered virtually via Zoom, allowing for consistency and accessibility. Limited in-person support may be available when it meaningfully supports a family’s needs.

For virtual sessions, clients are responsible for ensuring a stable internet connection and a private, quiet space.

4. Payment

Payment for initial consultations and group offerings is required at the time of booking through Stripe, which is securely integrated with the scheduling system. These appointments are confirmed only after successful payment.

Ongoing support, packages, and monthly plans are invoiced separately and arranged after an initial consultation. Payment terms for these services will be clearly communicated prior to scheduling.

5. Cancellations and Rescheduling

We understand that plans can change.

Cancellations made 24 hours or more in advance will receive a full refund.
Cancellations made less than 24 hours in advance, or missed appointments, may be charged the full session fee.

Rescheduling may be completed through the booking system or by contacting Rooted in Care Consulting directly.

6. Confidentiality

Information shared during sessions is treated as confidential and will not be disclosed without consent, except as required by law (such as risk of harm or abuse).

7. Communication and Boundaries

Email communication is intended for brief follow-up, clarification, or scheduling. Services do not include crisis support or emergency response. In case of emergency, clients should contact local emergency services or appropriate professionals.

8. Technology Disclaimer

While every effort is made to provide reliable virtual services, interruptions due to internet or platform issues may occur. If a disruption happens, the session will be rescheduled at no additional cost.

9. Limitation of Liability

By engaging in services, clients acknowledge that outcomes and decisions remain their responsibility. Rooted in Care Consulting is not liable for actions taken based on consultation or educational support.

10. Agreement

By booking services, clients confirm they have read, understood, and agree to these Service Terms & Understanding.
